Cairns Sharehouse runs several shared-accommodation properties, including The Martyn, The Penthouse, The Cottages, Lady Loewen, and Scotts Place. Managing tenants across all these locations meant handling a lot of moving parts: new enquiries, lease agreements, rent payments, and follow-ups on people who hadn't paid on time. Every part of the tenant journey was tracked manually using spreadsheets. Enquiries, lease details, payments, and overdue follow-ups were all recorded by hand, often updated one entry at a time by whoever happened to be handling that task. Because of this, it was very easy for information to go out of date or get entered inconsistently from one property to the next.
Knowing who owed money and how much was a constant struggle. Without a live, connected payment record, staff had to manually cross-check spreadsheets to figure out which tenants were behind on rent. This made it easy for overdue payments to go unnoticed for days or even weeks, delaying the follow-up needed to collect what was owed.
Figuring out which rooms were actually free at any given time was essentially a guessing game. Room status wasn't updated automatically anywhere, so staff had to rely on manual checks, phone calls, or word of mouth between properties. This slowed down how quickly empty rooms could be filled with new tenants, directly affecting occupancy and revenue.
Keeping track of when leases or subscriptions needed to be renewed was another task left entirely to manual memory and spreadsheet upkeep. Twilio powers all SMS and email reminders sent to tenants, including overdue invoice notices and follow-up alerts. This keeps communication fast and reliable, reaching tenants directly on their phones the moment a reminder needs to go out, without staff having to send messages manually.
A Google Sheet webhook keeps room availability updating in real time across the system. As soon as a room's status changes, the update flows through automatically, giving staff an accurate, live view of what's free without checking multiple sources.
